For potential customers, receiving a timely response from you is crucial. To meet these expectations, we provide both you as a supplier and the visitors of your profile with information about your response performance.
Two Key Metrics: Response Rate and Response Time
Your response rate and response time are decisive for the placement of your profile on the platform. Providers who respond quickly and reliably are favoured and receive more leads. You can view these metrics at any time in your Business Insights.
What is the Response Rate?
The response rate is visible for all users and indicates how many direct messages and request for quotes to your company have received an initial reply from you. We only consider new requests received within the last 90 days.
If a request is not relevant to you:
For direct messages, you can:

use the “Decline this request” button

or additionally send a written reply.
For Request for Quotes (RFQs):
- If you are unable or unwilling to place an offer, it is mandatory to select “Not interested"

Please do not send a written reply in this case.
Note: Declining a request does not have a negative impact on your ranking – on the contrary: a quick reply always has a positive effect.
How to Improve Your Response Rate:
- Always respond to incoming requests.
- Aim for a 100% response rate.
Check your messages and ensure that all direct messages from the last 90 days have received an initial reply.
Note: Before rejecting a request, check what type it is. Requests for quotations from wer liefert was (wlw) are requests that are sent to several suppliers and are based on a product category. Make sure that the product categories you specify in your profile are correct in order to receive relevant requests.
What is Response Time?
The response time is visible for all users indicates how quickly your company sends an initial reply to a new inquiry. This metric is based on the average of your fastest 80% response times. As with the response rate, we only consider new inquiries received within the last 90 days. Suppliers who respond quickly will be rewarded with a certificate and ranking benefits in the future.
How to Improve Your Response Time:
- Respond to incoming requests as quickly as possible.
Tip: If you need more time for a complete response, make it a habit to thank the buyer and let them know you will get back to them soon.
